CHANCELLERY

Chancellery manages vice chancellor specifically and university’s affairs in general.

There are five departments / units set up under Chancellery to run all the management and administration matters effectively. The departments / units are

VICE CHANCELLOR OFFICE

1. manages vice chancellor’s affairs,
2. coordinates security matters and staff welfare,
3. manages administrative work and financial matters of the vice chancellor office.

PUBLIC RELATION & CORPORATE SERVICE DEPARTMENT (PRCSD)

The Public Relation & Corporate Service Department was formed after the restructuring of the university organisation in the mid of 2006. It was previously known as Communication Corporate Unit under the KUKTEM (Kolej Universiti Kejuruteraan dan Teknologi Malaysia) Rector’s Office in 2002.

Indeed, when its main function expanded, the name has been replaced to Corporate Services Unit. Formerly, the main function of this unit was to cater public relation, corporate, international and industry, corporate publication and corporate image development issues. Aligned with the restructuring of the university organisation in 2006, it has expanded to be a department which consists of four units.
1) Media and Public Relation Unit
2) Publication, Multimedia and Documentation Unit
3) Marketing and Promotion Unit
4) International Relation Unit

PRCSD is one of the central divisions in the Vice Chancellor Office. To date, there is a total number of 14 staff headed by the Senior Registrar of UMP. PRCSD is responsible to
-Administer and supervise communication channel as well as, UMP internal and external information,
-Plan and organise university formal ceremonies and to provide consultancy in protocol matters, floor management and media publicity,
-Enhance university’s image,
-Handle promotion and university’s exhibition, and
-Manage university’s corporate publication.

Media and Public Relation Unit

-Manage university’s communication with mass media
-Manage official ceremonies of the university
-Provide consultancy service on protocol for the university and public

Publication, Multimedia and Documentation Unit

-Publish official publications such as newsletters, annual reports, planner, corporate videos etc.
-Design the layout for banners, backdrops, programme books, manuals, business cards, letterheads etc. in lined with the university’s image and aspiration
-Ensure all matters related to the corporate image are in accordance to the standard and specification outlined/determined by the UMP management
-Keep records and catalogues all published materials, photos, videos, cds for future reference and archive
-Handle video and photography coverage on all university’s events
-Manage PA system of all university’s official activities

Marketing and Promotion Unit

-Organise trips and excursions for visitors such as schools, public higher institutions etc.
-Manage the preparation and acquisition of the university’s souvenirs
-Conduct/organise national and international exhibitions for the purpose of promotion

ISLAMIC CENTRE & HUMAN DEVELOPMENT (ICHD)

Islamic Centre & Human Development (ICHD), which was formerly known as Islamic Affairs Unit, was established on 28 February 2007. The transformation from unit to centre was made due to its enlargement of job scope in lined with the establishment of UMP. ICHD is responsible to conduct human development programmes for UMP community with the objective to produce well-balanced human capital emotionally mentally, physically, and spiritually. Thus, activities conducted by the centre are in the form of trainings, workshops, seminars, courses, talks and etc. in order to strengthen Islamic understanding as well as universal moral values in ones daily life.

Objectives of ICHD

-To give in depth Islamic understanding to UMP community.
-To instill universal moral values that is based on Al-Quran and Sunnah
-To guide and educate UMP community to practice UMP’s core values
-To provide consultation and guidance to UMP community and society in fostering Islamic personality
-To explain to non-muslim community on the righteousness and uniqueness of Islam

Main Functions

-Da’wah and Islamic guidance
-Religious practices (Ibadah) and welfare
-Instillation of Core Values
-Human Development

INTERNAL AUDIT UNIT

This unit is fully responsible to carry out financial audit and management by

-Determining the reliability internal control system
-Analysing existing audit system
-Carrying out asset management system
-Ensuring university organisations are conducted in lined with the objectives, and
-Producing quarterly report to Audit Committee

LEGAL UNIT

This unit is fully responsible to -advice, coordinate, prepare and draft constitutions for UMP,
-examine, prepare and provide legal advice which involved any agreement related to third party,
-act as secretariat in coordinating legal action in UMP,
-revise and certify legal documents.

DEPARTMENT OF ACADEMIC AND INTERNATIONAL AFFAIRS

Introduction

The Department of Academic and International Affairs was formed after the restructuring of the university organisation in the mid of 2006. Headed by the Deputy Vice Chancellor of Academic and International Affairs, the department consists of six centres/units. The main function of this department is to monitor and coordinate the teaching and learning process in the university as well as ensuring the optimum quality of the syllabus and academicians/teaching staff.

Each centre/division/unit has its own roles and structures which support and complement one another. The centres/divisions/units are

Office of Deputy Vice Chancellor (Academic and International)

It functions as governance for the Department of Academic and International Affairs on matters associated to administration and financial (budget). The office is also responsible in preparing reports and information related to academic management as stipulated by the top management of the university, board of directors and Ministry of Higher Education.

Centre for Graduate Studies (CGS)

Centre for Graduate Studies (CGS) was established in March 2004. In the early formation, this centre was known as ORGS (O Research and Graduate Studies). About 19 students had registered as the first group /batch of graduate students and two of them were international students.

CGS offers Masters and Doctorate programmes. This centre prepares programmes in research mode aligned with the university’s dream to produce graduates who are expert in their own fields. Up till Semester 1 2007/2008 session, CGS has about 81 students which consists of 18 international students and 63 Malaysian students.

Academic and Staff Development Centre (ASDC)

The main objective of Academic and Staff Development Centre (ASDC) is to enhance teaching skill of the academic staff through on-going observation and guidance to generate excellent learning process. Apart from that, this centre is responsible to ensure a more systematic and viable teaching and learning process. ‘Student-centred learning’ approach is practised to produce quality graduates parallel with the vision and mission of UMP.

Centre for Academic Services

Formed in 2007, Centre of Academic Services plays its role on coordinating activities relevant to Students’ Industrial Training, Soft Skill Evaluation, Co-Curriculum, Academic Advisory and Science Programmes. This centre endeavours in providing the most excellent service to students so that they gain knowledge and beneficial experience while in UMP.

Academic Quality Assurance Unit

Academic Quality Assurance Unit is formed to ensure all programmes in UMP particularly the undergraduate programmes to be accredited by relevant agencies and bodies.

International Unit

Recently set up in the late 2007, the unit is plays a role in managing students’ exchange programmes. Besides, the unit is formed to ensure all programmes in UMP particularly the undergraduate programmes to be accredited by relevant international agencies and bodies.

RESEARCH & INNOVATION DEPARTMENT

Research and innovation activity in UMP is under the purview of the Research & Innovation Department headed by the Deputy Vice-Chancellor (Research & Innovation). The department consists of:

-Research Management Centre (RMC)
-Centre for Continuing Education & Professional Development (CENFED)
-University-Industry Centre (UIC)

Office of the Deputy Vice-Chancellor (Research & Innovation)

The Office of the Deputy Vice-Chancellor (Research & Innovation) is responsible for the enhancement of the University’s research through selected promotional activities and the management of the University’s intellectual properties. The office organizes research exhibitions and coordinates the University’s participation in the various expositions and exhibitions for R&D, invention, and innovation at the national and international levels.

CENFED

Established in 2004, CENFED was formerly known as the Skills Development Centre. Its initial function was to coordinate the development of skills development system for UMP students. As a result of a restructuring exercise, CENFED was given a new and expanded role in the development of human resources in the community.

CENFED is responsible for developing and disseminating programmes on continuing education and professional development to the public focusing particularly on the working adults. Its function has been expanded to include the development and coordination of retraining courses, continuing education programmes, skills development programmes and professional development courses for UMP. Most of its programmes are designed to provide continuing education opportunities for the local industrial community and the general public.

CENFED offers programmes spanning from those authorized by the relevant authorities such as the Deparmsent of Safety and Health Malaysia (DOSH) and National Institute of Occupational safety & Health (NIOSH) to programmes tailor-made according to customer requirements.

CENFED is also an authorized training provider for the following agencies:
-Pembangunan Sumber Manusia Berhad (PSMB)
-Department of Safety & Health (DOSH)
-National Vocational Training Council (MLVK)
-Construction Industry Development Board (CIDB)
-National Institute Of Occupational Safety & Health (NIOSH)

RMC

The Research Management Centre of Universiti Malaysia Pahang was established in 2005 to strengthen the R&D capabilities of UMP to face the challenges of rapidbly changing developments in the field of science and technology. The centre coordinates research and development (R&D) activities at UMP and plays and plays an important role in ensuring that all UMP research comply with the policies and procedures set by the University. The RMC is also responsible for the University's academic publication.

Headed by a director, the RMC consists of two units:

RESEARCH GRANT UNIT
The research grant unit is responsible for enchancing research opportunities and facilities through dissemination of information concerning research grants application, preparation of applications forms, disseminating information concerning successful applications and, in general, acts as a secretariat between researchers and agencies offering research grants. The unit also looks after research grant accounts activities which include the procurement of equipment and expenditure payment claims, monitors the status of research projects and coordinates the appoinment of research assistants.

ACADEMIC PUBLICATION UNIT
The Academic Publication Unit of RMC is responsible for the University's scholarly publishing. The unit is tasked with producing the University's academic publications that promote education, foster public understanding and enrich the knowledge of the general public. It also encourages the academic and professional staff of the University to produce high quality scholarly works in their fields of expertise in order to disseminate scholarship to the scholarly community and the general public.

UIC

The University-Industry Centre of Universiti Malaysia Pahang was established in 2006. The UIC is guided by its objective of echancing university-industry partnership by efficiently and systematically managing the University's relation with the industry in the realms of consultancy, commercialization, entrepreneurial and technical services.

Aiming to become a one-stop centre providing high quality services in consultancy and commercialization of the University's research, the UIC emphasizes on its main function which is to foster co-operation between UMP and the industry in research and development and commercialization, playing a leading role in enhancing the University's collaborative relations with the industry and at the same time helps to secure relevant funding from venture capitals for the commercialization of pontential research products.

The UIC assists the University in generating revenue through consultancy and technical services while providing the basic infrastructure for the development of the University's technology park through the creation of the incubators centre. The UIC also ensures proper dissemination of relevant information to facilitate technology transfer by developing and maintaining databese on industry, experts and the fileds of expertise available that can be used as a realible source of reference by researchers and entrepreneurs.

STUDENT AFFAIRS & ALUMNI DEPARTMENT

Introduction

The Department of Student Affairs and Alumni plays a role as an organisation that nurtures university students, thus becoming graduates that balance academically, spiritually, emotionally, physically and intellectually.

The department consists of several units that are

In 2003, Information Technology and Communication Centre (ITCC) was only known as information technology. However, in 2006 aligned with the ITCC objective as a centre that supports all university activities, ITCC has changed its name to Information Technology and Communication Centre that caters/provides ICT Infrastructure , telecommunication, equipment, conducive tools for university communities.

DEPARTMENT OF PROPERTY MANAGEMENT & DEVELOPMENT (DPMD)

DPMD is responsible in performing work related to development, building maintenance and providing facilities as well as managing university properties including UMP vehicles. In the early KUKTEM establishment in 2002 (now known as UMP) DPMP had operated in a small scale with the function as Technical Unit and Vehicle Unit. These two units worked hand in hand in implementing work such as electrical, mechanical, property management and logistic. With the increment of staff working in DPMP and UMP’s expansion, 3 main divisions are formed:
-Development & Design Division
-Maintenance Division
-Administrative & Property Management

Each division is led by an Engineer or Assistant Registrar and assisted by technical support and administration staff.

CORPORATE DEVELOPMENT & QUALITY MANAGEMENT CENTRE

About us – An Introduction

The Corporate Development & Quality Management Centre (CDQMS) was formally established on August 2002 and formerly known as Quality Unit which hold responsible to the Rector.

However, beginning from June 2005 until December 2006, it was put under the Registrar Office with the same function. On January 2007, this unit had evolved to a Responsible Centre (RC) and known as Corporate Development & Quality Management Centre (CDQMS) based on the proposal by the Committee of Organizational Chart Harmonization. The mission and motto of CDQMS are:

a) Mission
To help in realizing the UMP vision through the implementation of the corporate development and quality management initiative.

b) Motto
“Judicious urge glory”

Among the objectives of CDQMS establishments are:

- To plan strategic initiative at the university level in order to get the Highest Management approval and synchronizing the initiative implementation.
- To motivate the initiative in producing a quality culture, process and workmanship in the university.
- To practice a progressive, competitive and productive work approach.
